KS Kinetic Terms & Conditions

Version 1.2
Effective Date: 28 September 2026
1. Introduction
These Terms & Conditions apply to all coaching sessions, Young Athlete Development sessions, camps, programmes and events delivered by KS Kinetic Coaching Services ("KS Kinetic", "we", "us" or "our").
By booking a session, programme or event with KS Kinetic, you confirm that you have read, understood and agree to these Terms & Conditions.
Where sessions take place at third-party venues, all participants and accompanying adults must also comply with the rules and policies of that venue.
2. Bookings
Bookings can be made through the KS Kinetic website or directly with KS Kinetic.
A booking is confirmed once KS Kinetic has accepted the booking and payment has been received.
Where a session has limited capacity, a place cannot be guaranteed or held until payment has been received. Places are allocated on a first-come, first-served basis.
Young Athlete Development sessions are suitable for children aged 6 years and over, unless otherwise stated.
3. Payment
Payment is required at the time of booking, unless an alternative arrangement has been agreed in advance with KS Kinetic.
A place is only secured once payment has been received.
By making a booking, you agree to pay the applicable session, programme or event fee.
KS Kinetic reserves the right to release or reallocate a place where payment has not been received.
All prices will be clearly communicated at the time of booking.
4. Cancellations, Transfers & Refunds
If you need to cancel a booking, please provide at least 24 hours' notice before the scheduled session.
Cancellations made more than 24 hours before the session
Where at least 24 hours' notice is provided, KS Kinetic may offer either:
a transfer to another available session; or
credit towards a future KS Kinetic session.
Any transfer is subject to availability.
Cancellations made within 24 hours
Cancellations made within 24 hours of the scheduled session are not normally eligible for a refund, transfer or credit, as the place has been reserved and may not be possible to fill at short notice.
Non-attendance
Failure to attend a booked session without prior notice will be treated as a late cancellation and will not normally be eligible for a refund, transfer or credit.
Illness
If a participant is unable to attend because they are unwell, parents or guardians should notify KS Kinetic as soon as possible.
Where appropriate, and at KS Kinetic's discretion, a transfer or credit may be offered in exceptional circumstances.
Participants should not attend sessions if they are unwell or suffering from a contagious illness.
If KS Kinetic cancels
If KS Kinetic needs to cancel a session due to severe weather, coach illness, venue closure or other circumstances beyond our reasonable control, we will, where reasonably possible, offer:
an alternative session; or
credit towards a future session.
Where an alternative session or credit cannot reasonably be provided, a refund may be offered.
Sessions will normally continue during light rain where it is safe and appropriate to do so.
Nothing in this section affects any statutory rights that may apply.
5. Medical Information
Parents or guardians are responsible for providing accurate and up-to-date information about any relevant medical conditions, allergies, injuries, medication, additional support needs or other circumstances that may affect a child's participation.
Parents or guardians must notify KS Kinetic of any relevant changes to this information.
Children should not attend a session if they are unwell or suffering from a contagious illness.
Where KS Kinetic reasonably believes that participation could place the child or others at risk, we may ask the child not to participate until it is considered safe to do so.
6. Safeguarding & Supervision
Parents or guardians remain responsible for their child before the session begins and immediately after the session ends.
Children should arrive no more than 10 minutes beforethe scheduled session unless otherwise advised by KS Kinetic.
Parents or guardians are responsible for collecting children promptly at the end of the session.
KS Kinetic is committed to providing a safe, welcoming and inclusive environment for all participants.
7. Behaviour
Participants, parents, guardians and spectators are expected to behave respectfully towards KS Kinetic staff, coaches, other participants, parents, venue staff and members of the public.
Unsafe, abusive, threatening or discriminatory behaviour will not be tolerated.
KS Kinetic reserves the right to ask a participant or accompanying adult to leave a session where their behaviour presents a safety risk or significantly disrupts the session.
8. Clothing & Equipment
Participants should wear suitable sports clothing and appropriate trainers for the activity.
Participants should bring a named water bottle to each session.
Any additional equipment required for a particular session will be communicated in advance where appropriate.
KS Kinetic is not responsible for personal belongings that are lost, stolen or damaged during a session or while attending a venue.
9. Photography & Video
Photography and video consent is requested during registration.
Where appropriate consent has been provided, KS Kinetic may take photographs or video footage during sessions for legitimate promotional, social media, website or marketing purposes.
Consent may be withdrawn at any time by contacting KS Kinetic.
Where consent has not been provided, KS Kinetic will take reasonable steps to ensure that the participant is not intentionally included in promotional photography or video.
10. Health & Safety
Participants must follow reasonable instructions given by KS Kinetic coaches and staff, use equipment safely and respect other participants and the venue.
Activities may be adapted or modified to take account of participants' age, ability, experience, weather conditions or other relevant circumstances.
KS Kinetic reserves the right to stop or modify an activity where we consider this necessary for the safety of participants, staff or others.
11. Liability
Participation in physical activity and sports coaching carries an inherent risk of injury.
KS Kinetic will take reasonable steps to provide a safe environment and appropriate coaching.
Participants and their parents or guardians acknowledge the normal risks associated with physical activity and should provide accurate medical and relevant health information to enable appropriate participation.
Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability that cannot legally be excluded or limited.
12. Data Protection
Personal information provided to KS Kinetic is processed in accordance with applicable UK data protection legislation, including the UK GDPR and Data Protection Act 2018.
Personal information will be used for purposes including managing bookings, communicating with parents or guardians, delivering sessions, safeguarding and meeting legal or administrative requirements.
Please refer to the KS Kinetic Privacy Policy for further information about how personal data is collected, used and protected.
